Scheduled Insight report

It is possible to have an Insight Report emailed to you on a regular basis.

Setup is done by first clicking on the Schedule button and selecting your desired reporting period.

The setup dialogue offers a range of options:

• Repeat Every – Select how often you wish to generate and receive the report
• Next Run – date / time that the report will next be generated
• Repeat Until – Select whether you want the report to run Forever or until an End Date
• End Date – Set an optional end date (depends on Repeat Until selection above)
• Recipients – Selected users who the report will be emailed to

Now as long as the Enabled checkbox is selected the report will be generated and emailed at the Next Run time.

Understanding Report Range and Repeat

Each report will generate for the date range selected for each item in that report and is not set in the schedule dialogue. This means that the date range for your report items may not directly relate to the Repeat Every setting on your schedule.

This is to give you the most flexibility over what data you receive with each report. It may be that you want some static data (e.g. opens performance for January) which can be done by setting an absolute date range against a particular item. It is also possible to set your items up to dynamically show the latest information.

Using date expressions

For a monthly report containing the last month's data in any particular item, set up the schedule to send every 1 month and then for the report items click on the settings cog in the top right corner and go to: Options tab > Sent Date to set up the date range by expression as follows:

This would ensure the data was always calculated for the last month at the point of it generating, just before emailing the report.

Once the report has run the Last Run field will update to serve as a record of this happening and the Next Run field will auto update to show the next time the report will run.

Example for a monthly report

The report is set up to run on 10th of May 2015 at 09:00.
At that time:

• The report is generated for the date range set on the Insight report
• The report is emailed to the selected recipients
• Last Run is set to display 10th May 2015 9:00am
• Next Run jumps ahead exactly 1 month to 10th of June 2015 9:00am

Unexpected dates

When setting a monthly report it is not possible to set the Next Run date for 29th, 30th or 31st. This is to prevent errors with the Next Run auto rolling on for those months which do not contain those dates.
